QuickSiteReport respects your privacy and is designed to give users control over their construction project and daily reporting information.

This Privacy Policy explains how QuickSiteReport (“QuickSiteReport”, “we”, “us”, or “our”) collects, uses, stores, processes, and protects information when you use the QuickSiteReport application, related cloud services, and the QuickSiteReport website.

QuickSiteReport is operated by Vasilis Polykarpou, based in Cyprus.

1. How QuickSiteReport Works

QuickSiteReport is a professional construction site reporting application for projects, daily reports, photographs, personnel information, observations, signatures, PDF reports, and related construction records. It follows an offline-first design. The Free version can be used locally without creating or signing into an account. Users who choose to create or sign into an account may use cloud-enabled features, including cloud backup and synchronization where available, using Google Firebase services.

2. Information We Process

Depending on the features used, QuickSiteReport may process account information (email address, Firebase UID, authentication/session information, account and entitlement status); profile/company information (name, company, contact details, company logo and signature); and project/daily-report information such as project identifiers, locations/addresses, dates, work descriptions, weather/site conditions, personnel, engineers, equipment, machinery, materials, delays, tests, inspections, instructions, safety information, accidents/incidents, visitors, notes, signatures and other voluntarily entered report information.

Firebase Authentication handles password authentication. QuickSiteReport does not store account passwords in plain text.

Users or organizations entering information about employees, workers, engineers, subcontractors, visitors or other people are responsible for ensuring they have an appropriate legal basis, authorization or permission to process that information.

3. Photos, Images, Logos and Signatures

QuickSiteReport allows users to capture or select construction/report photographs and use company logos and signatures. These files may remain locally on the user's device or, when cloud functionality is used, be uploaded to Firebase Storage for synchronization and backup. QuickSiteReport does not use this content for third-party advertising.

4. Project Location Information

Users may enter project locations or addresses as part of project records. QuickSiteReport does not use project-location information for advertising or behavioural profiling. This Privacy Policy does not claim continuous GPS tracking. Any future feature materially changing device-location access or collection will require review of this Policy and applicable permissions/disclosures.

5. Local Storage

QuickSiteReport is designed to operate offline. Local data may include projects, reports, photo references, personnel information, engineer entries, profile information, application settings, synchronization information and other data required for functionality. Local information may remain until deleted by the user, removed through applicable account-switching/deletion functionality, or otherwise removed from the device. Logging out does not by itself necessarily delete locally stored project information.

6. Cloud Storage and Synchronization

Authenticated cloud functionality may use Firebase Authentication, Cloud Firestore, Firebase Storage and related Firebase services. Cloud data is associated with the authenticated user's account. QuickSiteReport uses user-scoped access controls, authentication/authorization controls, Firebase security rules, protected storage paths and authenticated server-side functionality where applicable.

7. Support Requests

If you contact QuickSiteReport through in-app support or email, we may process contact/account information where necessary, the support request and relevant technical information needed to respond or diagnose an issue. In-app support requests may be stored in Cloud Firestore.

8. Crash Reports and Technical Diagnostics

QuickSiteReport uses Firebase Crashlytics to identify crashes, technical failures and reliability problems. Depending on configuration and circumstances, diagnostic information may include application version, operating system/platform information, device-related technical information, crash information, stack traces, application state associated with a failure, diagnostic identifiers and non-fatal technical diagnostic events. QuickSiteReport may also record technical startup/reliability information. This information is used for stability, troubleshooting, security and reliability, not third-party behavioural advertising.

9. Security and App Integrity

QuickSiteReport uses technical security measures designed to protect accounts, cloud data and functionality. On supported Android configurations, Firebase App Check and Google Play Integrity-related mechanisms may be used to help identify unauthorized, manipulated or abusive requests. Technical integrity information is processed for security, fraud/abuse prevention and protection of the service.

10. Website Analytics

The QuickSiteReport website uses Framer for website creation/hosting and may use Framer's built-in privacy-focused analytics. These may provide aggregated statistics such as unique visitors, page views, pages visited, referral sources, country/approximate geographic statistics, device category, browser/OS information, bounce rate and session/engagement statistics. According to Framer, its built-in analytics do not use cookies or persistent identifiers for visitor analytics.

QuickSiteReport does not currently use Google Analytics or third-party advertising/remarketing tracking on the website. If additional analytics, advertising, tracking technologies or non-essential cookies are introduced, privacy and consent mechanisms will be reviewed and updated as required.

11. Application Usage Analytics

QuickSiteReport does not currently use Firebase Analytics for general application usage analytics.

We may introduce privacy-conscious application usage analytics in a future version to understand and improve the application. If introduced, analytics may measure application opens, sessions/engagement, use of major features, report creation activity, Search, PDF generation, photo-feature usage, synchronization activity, feature performance and technical reliability.

The intended approach is product-usage statistics rather than construction-project content. We do not intend analytics to contain report descriptions, project names, worker names, photographs, signatures, notes, email addresses or other construction content. Before enabling such analytics, QuickSiteReport will review the implementation, required controls/consent, Google Play Data Safety disclosures and this Privacy Policy.

12. Why We Process Information

Purposes include providing QuickSiteReport and offline functionality; storing/managing projects and reports; authentication; cloud backup/synchronization; PDF generation; managing photos/signatures/logos; backup/restore; support; crash/technical diagnostics; reliability/security; preventing misuse/fraud/unauthorized access; managing Free and PRO/Premium functionality and entitlements; understanding website usage; and complying with legal obligations.

13. Legal Bases for Processing

Where GDPR or equivalent European data-protection law applies, processing may be necessary for performance of a contract/provision of the service, legitimate interests such as security/reliability/support where appropriate, compliance with legal obligations, or consent where required. Where consent is the applicable legal basis, it may be withdrawn subject to applicable law.

14. Controller and Processor Roles

For information QuickSiteReport processes for its own purposes, such as account administration, support, security, subscription management, website operation and certain diagnostic activities, Vasilis Polykarpou, operating QuickSiteReport, acts as Data Controller.

For customer-controlled construction project/report content, the user or organization entering and managing the information may be the Data Controller under applicable law, while QuickSiteReport may process cloud-hosted information on their behalf to provide the service. Users and organizations are responsible for their own legal obligations concerning information they enter.

15. Service Providers and Sharing

QuickSiteReport does not sell users' personal information and does not use construction project content, reports, photographs or signatures for third-party advertising.

Service providers may include Google/Firebase for authentication, database, file storage, crash diagnostics, security/integrity and related cloud infrastructure; Framer for website operation/hosting and built-in website analytics; and Resend for sending transactional service emails, such as registration welcome emails and support-related communications. Information may also be disclosed where required by law/legal process or reasonably necessary to protect users, QuickSiteReport or others from fraud, abuse, security threats or unlawful activity.

16. International Data Processing

Some service providers operate infrastructure in multiple countries. Information may therefore be processed or stored outside the user's country or the European Economic Area. Where applicable, processing is subject to safeguards required by applicable data-protection law and safeguards provided by the relevant service provider.

17. Subscriptions and Payments

QuickSiteReport may offer paid PRO/Premium functionality. For Android distribution through Google Play, purchases/subscriptions are intended to be processed through Google Play Billing. QuickSiteReport does not intend to directly collect/store full payment-card details for Google Play purchases.

QuickSiteReport may process information needed to verify/manage subscriptions or entitlements, such as product/subscription identifier, purchase/verification token, subscription/entitlement status, expiration information and the QuickSiteReport account identifier associated with the entitlement. If the payment architecture changes, this Policy will be updated as appropriate.

18. Data Retention

Information is retained only as long as reasonably necessary for the purposes described, provision of the requested service and legitimate security/legal requirements. Local project/report information generally remains until deleted/removed. Cloud information may remain while the account/cloud functionality remains active. Synchronization may require temporary deletion-state information for safe multi-device propagation. Support information may be retained as reasonably necessary for the request/support records. Crash/diagnostic information may be retained according to configuration and applicable Firebase/Google service practices. Certain information may be retained where reasonably necessary for security, fraud prevention, dispute resolution or legal compliance.

No artificial fixed retention period is stated where the actual system does not currently implement one.

19. Account and Data Deletion

Creating an account is optional for users who only use available local functionality. Users with an account can request deletion; account deletion is different from logout.

QuickSiteReport's account-deletion process is designed to permanently delete the user's Firebase Authentication account and associated QuickSiteReport cloud data, including applicable Firestore and Firebase Storage information, and remove applicable account-specific local application information in accordance with the application's deletion architecture. Confirmation and re-authentication may be required for security.

QuickSiteReport will also provide a public Delete Account & Data webpage. Information that must lawfully be retained for security, fraud prevention, regulatory compliance or another lawful reason may be retained only as permitted or required by law.

20. Logout and Account Switching

Logging out does not constitute account deletion and local information may remain. Switching to another QuickSiteReport account may require explicit confirmation before account-specific local information is removed, helping prevent one account's information from being exposed to another account.

21. Your Data Protection Rights

Where applicable, rights may include access, correction, deletion, restriction, portability, objection, withdrawal of consent where processing is consent-based, and the right to complain to a competent supervisory authority. These rights may be subject to applicable legal conditions/limitations.

In Cyprus, the competent authority is the Office of the Commissioner for Personal Data Protection.

22. Children's Privacy

QuickSiteReport is a professional construction reporting application intended for engineers, contractors, site supervisors, construction professionals and other professional users. It is not designed or intended for use by children.

23. Information About Other People

Users may enter information about employees, workers, engineers, subcontractors, visitors, clients or other persons. The user or organization entering such information is responsible for ensuring lawful processing, data minimization and any required notices/permissions.

24. No Sale of Personal Data or Construction Content

QuickSiteReport does not sell users' personal information, construction project information, reports, photographs, signatures or other user-created construction content, and does not use such content for third-party behavioural advertising.

25. Security, Availability and Accidental Data Loss

QuickSiteReport uses reasonable technical and organizational measures designed to protect information.

However, no application, device, local storage system, network, synchronization mechanism or cloud service can guarantee absolute security, uninterrupted availability or complete protection against accidental data loss.

26. Changes to This Privacy Policy

We may update this Policy when QuickSiteReport, its services/providers, data-processing practices or applicable legal/regulatory requirements change. The "Last updated" date will be revised for material changes and additional notice/consent will be provided where legally required.
